Description:

Responsible for providing a variety of administrative support tasks for the firm President and Principals. This position requires a great personality, strong interpersonal skills, exceptional organizational and multi-tasking abilities, acute attention to detail, and the ability to maintain strict confidentiality. Demonstrate a trustworthy presence through your professionalism, demeanor, and technical knowledge.


Responsibilities:

·        Organizes President’s time - taking into consideration priorities, available time, and other variables

·        Manages President’s calendar, proactively addressing scheduling conflicts, and sets/ maintains schedule of appointments and meetings

·        Processes weekly expense report on behalf of the President

·        Manages President’s email including prioritizing and responding

·        Provides follow-up to pending issues to assure completion of tasks

·        Drafts President’s communications and presentations

·        Makes arrangements for all principals’ travel/conferences - prepare itinerary, secure hotel/transportation and pertinent flight info

·        Updates corporate registrations

·        Renews and updates professional registrations

·        Continuing education record keeping for each state

·        NCEES renewals for engineers

·        Completes security badging applications for staff

·        Maintains vendor registrations

·        Maintains master client list

·        Develops and maintain document filing and retrieval system

·        Assist with proposal production and collaborate with the technical staff to develop responses

·        Track and maintain project opportunity database

·        Maintain company marketing files

·        Assist with coordination with vendors/consultants for gifts and promotional items

·        Assists with additional administrative and marketing tasks as needed

 

 

Required Knowledge and Skills:

·        4+ years direct experience supporting executive or mid-level leadership

·        Associate degree preferred or equivalent experience

·        Experience within the AEC industry preferred

·        Experience using Outlook, Word, Excel, and PowerPoint

·        Acute attention to details

·        Excellent written and verbal communication skills

·        Discretion and confidentiality

·        Ability to work independently and with others

·        Strong multi-tasking skills and ability to meet deadlines

·        Hard working, friendly, highly flexible and adaptive, results-oriented, and passionate
